  • Profile Data Includes your username and password, preferences, feedback and survey responses.
  • Usage Data Includes information about how you use our website, products and services.

How is your personal data collected

We use different methods to collect data from and about you, including:

  • Direct interactions. You may give us your Identity and Contact Data by completing the enquiry form on this website, by emailing us, by telephoning us, or by corresponding with us in the course of engaging or receiving our services.
  • Automated technologies or interactions. As you use this website, we may receive Technical and Usage Data about your equipment, browsing actions and patterns.
  • Third parties. We may receive personal data about you from third parties where this is necessary to provide our services to you, for example HM Revenue & Customs, Companies House, banks or other advisers acting for you.

How we use your personal data

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

  • To respond to your enquiry. Where you contact us, we use your details to reply and to discuss whether and how we may be able to help. Our lawful basis is our legitimate interests in responding to enquiries about our services, or the steps taken at your request before entering into a contract.
  • To provide our accountancy and tax services. Where we act for you, we process personal data to perform our contract with you, including preparing accounts, tax returns, payroll and other agreed services, and to administer your account.
  • To comply with our legal and regulatory obligations. This includes obligations relating to tax, anti-money laundering and client identification, record keeping and reporting.
  • To keep our website and business secure and working properly, which we do on the basis of our legitimate interests.

We do not sell your personal data. We will not use your personal data for marketing purposes without a lawful basis for doing so, and you can ask us to stop sending you marketing communications at any time by contacting us.

If we need to use your personal data for an unrelated purpose, we will notify you and explain the legal basis which allows us to do so.

Disclosures of your personal data

We may share your personal data where it is necessary for the purposes set out above, including with:

  • HM Revenue & Customs, Companies House and other regulatory bodies or authorities where we are required or authorised to do so;
  • third parties acting for you, such as your bank, solicitor, financial adviser or previous accountant, where you ask us to or where it is necessary to deliver the service;
  • service providers who support the running of our practice and this website, such as software, hosting and communications providers, who act on our instructions;
  • professional advisers and, where required, law enforcement, courts or regulators.

We require all third parties who process personal data on our behalf to respect its security and to treat it in accordance with the law. We do not allow them to use it for their own purposes.

International transfers

We aim to keep personal data within the UK. Some of the service providers we rely on may process data outside the UK. Where that happens, we take steps to ensure a similar degree of protection is given to your personal data, for example by relying on transfer mechanisms approved for use under UK data protection law. If you would like details of the safeguards applying to a particular transfer, please contact us.

Data security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. We limit access to your personal data to those who have a business need to know, and they are subject to a duty of confidentiality.

We have procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

Data retention

We will only keep your personal data for as long as is necessary to fulfil the purposes we collected it for, including to satisfy any legal, accounting, tax or reporting requirements.

To decide how long to keep personal data, we consider its nature and sensitivity, the potential risk of harm from unauthorised use or disclosure, the purposes for which we process it and whether we can achieve those purposes by other means, together with the periods required by law and by our professional obligations. Where personal data is no longer required, we delete it or anonymise it securely. You can ask us about the retention period that applies to your information by contacting us.

Cookies and website data

This website does not use advertising or tracking cookies. Where you submit the enquiry form, the details you provide are transmitted securely and stored so that we can respond to you. Limited technical information, such as your IP address, may be processed by our hosting provider for security and to keep the site running reliably. Most browsers allow you to refuse or delete cookies and site data through their settings.

Your legal rights

Under UK data protection law you have rights in relation to your personal data. Depending on the circumstances, you may have the right to:

  • request access to your personal data;
  • request correction of inaccurate or incomplete personal data;
  • request erasure of your personal data;
  • object to our processing where we rely on legitimate interests;
  • request restriction of processing of your personal data;
  • request the transfer of your personal data to you or to a third party;
  • withdraw consent at any time where we rely on consent.

Some of these rights are subject to conditions and exceptions, and we may not be able to delete information we are required by law to keep. You will not usually have to pay a fee to exercise your rights. We try to respond to all legitimate requests within one month, and will let you know if we need longer. We may need to ask you for information to confirm your identity before we act on a request.

To exercise any of your rights, please contact us.

Complaints

If you are unhappy with how we have handled your personal data, please tell us first so that we have the opportunity to put things right. You also have the right to complain to the Information Commissioner’s Office, the UK supervisory authority for data protection issues (www.ico.org.uk).
